We get it — plans change. But once we’ve reserved your spot, booked your lodging, and set things in motion, we’ve made financial commitments on your behalf that can’t be undone. That’s why our cancellation policy is clear and firm:
Guided Tours
Cancellations by You
- Within 30 days of booking (but more than 90 days from trip start date): Full refund is available.
- 90+ days from the trip start date (but after the 30 day grace period): Deposits are non-refundable.
- 61–90 days before departure – 50% of your total trip cost will be refunded.
- 60 days or fewer before departure – No refunds will be given.
Cancellations by Rogue
We may cancel a trip at any time up to 60 days before departure if the trip has not met the minimum booking numbers. We may cancel a trip at any time prior to departure due to terrorism, natural disasters, pandemics, civil unrest, official government travel warnings or restrictions or other external events that prevent us from safely operating the planned itinerary. If we cancel your trip due to low participant numbers, you can transfer amounts paid to an alternate trip or receive a full refund. In circumstances where the cancellation is due to external events outside our reasonable control (see Force Majeure), refunds will be issued minus any unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance, or non-refundable flights.
Force Majeure & Unrecoverable Costs
If the trip is canceled, delayed, shortened, or altered due to events beyond our control — including but not limited to severe weather, wildfires, natural disasters, pandemics, political unrest, strikes, airline cancellations, or government restrictions — refunds will be issued minus any unrecoverable costs already paid to suppliers on your behalf. No additional compensation will be provided.
What Are “Unrecoverable Costs”?
These are expenses we cannot get back from vendors, even if the trip doesn’t happen. Examples include but are not limited to:
- Nonrefundable airline tickets or change/cancellation fees
- Charter flights, buses, vans, or shuttles paid in advance
- Hotel, lodge, cabin, or campsite deposits
- Deposits or wages for guides, instructors, or trip leaders
- Permits, park entrance fees, or activity licenses
- Tickets to events, attractions, or activities
- Pre-purchased group meals, catering, or perishable food
- Non-refundable equipment or gear rentals
- Travel agency, booking, or administrative fees
- Insurance premiums (if nonrefundable)
We share this information so you understand in advance what kinds of costs might be deducted from your refund if an unavoidable cancellation occurs.
Minimum Group Size Cancellations
Each trip has a specific set of minimum and maximum number of participants. If a trip has not met the minimum group size 60 days prior to the trip start date then Rogue Expeditions reserves the right to cancel that trip. Though cancellation is a last resort, travelers should be aware of the possibility and refrain from booking flights until given confirmation that the trip is going. In the event that Rogue Expeditions cancels a trip due to low participant numbers, full credit transfers or refunds will be issued.
No Refunds After Departure
Once a trip has begun, no refunds, credits, or reimbursements will be issued under any circumstances, except as outlined under Force Majeure / Unrecoverable Costs. This includes, but is not limited to:
- Missed activities due to personal choice, illness, injury, or fitness level
- Itinerary changes due to weather, safety concerns, or other causes
- Early departure from the trip for any reason
Our itineraries are thoughtfully designed, but outdoor and adventure travel in natural, remote environments inherently involves unpredictable factors such as weather, trail conditions, logistical constraints, and local regulations.
By joining a trip, you acknowledge and accept that reasonable changes, substitutions, or adjustments to the itinerary may occur at any time. These are considered a normal part of the travel experience, not a shortfall in the services provided. All such decisions are made solely at the discretion of the trip leaders or operators to ensure safety, quality, and the overall success of the trip.
Self-Guided Tours
Self-guided trips are booked differently than our guided departures: full payment is required at the time of booking, and we begin reserving and prepaying your accommodations, luggage transfers, and transport immediately after your reservation is confirmed. Because these costs are committed on your behalf right away, our self-guided cancellation terms apply from the date your booking is confirmed, not from your departure date.
Cancellations by You
All self-guided registrations are final. Once your booking is confirmed, no refunds will be issued for cancellations for any reason, except as described under Itinerary Confirmation below.
We strongly encourage you to purchase travel insurance to protect against loss in the event you need to cancel.
If you do not arrive for your trip, arrive late, or leave early, no refunds will be issued, and you are responsible for any additional costs associated with transport to and from the tour.
Exception — Itinerary Confirmation
Self-guided bookings involving rifugios are proposed based on your requested dates and rooming configuration, but cannot be finalized until the rifugios’ booking window opens (typically December–February for the following summer season). We make every reasonable effort to secure the itinerary you requested.
If we are unable to do so, and the confirmed itinerary differs materially from what was originally proposed, you may cancel and receive a full refund of your deposit by notifying us in writing within 14 days of receiving your confirmed itinerary. Requests received after this 14-day window are not eligible for a refund under this exception, and the standard cancellation terms above will apply instead.
